How to Read a Garment Specification Sheet: Composition, Fit and Decoration

Most sourcing conversations about a garment start with the price and end with the fabric. The specification sheet in between is what actually determines whether the bulk order matches the sample you approved. This guide breaks down how a women's shirting specification is read line by line, using a real production style from our line — a brown cotton-blend corduroy shirt with sequin star appliqué and contrast sleeves — as the worked example.

Why a Specification Sheet Beats a Photograph

A photograph shows what a garment looks like. A specification shows what it is. Two shirts can look identical in a studio image and still differ in composition, wale density, sleeve lining, seam allowance and grading. When you approve a bulk order on photographs alone, every one of those variables becomes a dispute later. When you approve on a specification, each one becomes a measurable acceptance criterion.

For B2B programs — wholesalers, distributors and private-label buyers — the specification sheet is also the document your quality team inspects against. It is the reason inline inspections and final random inspections have something objective to check. Without it, inspection becomes opinion.

The Six Fields That Matter First

Before decoration, before trims, and before packaging, six fields carry most of the risk. Get these wrong and no amount of finishing detail will rescue the order.

Notice that four of the six are numeric. Sourcing works best when the conversation is numeric.

Reading a Real Specification: The Corduroy Statement Shirt

Our brown corduroy shirt with sequin star and velvet sleeves is a useful teaching example because it combines a plain-weave-adjacent body fabric with a highly decorated component. That combination is where specifications most often break down.

Composition

The supplied specification identifies the composition as 50% cotton, 50% polyester. That is not a compromise — it is a deliberate balance for a statement shirting program. The cotton half delivers the surface hand and breathability buyers associate with corduroy. The polyester half stabilises the pile, improves dimensional stability through washing, and reduces the cost volatility that comes with a 100% cotton pile fabric. For buyers shipping to markets with specific labelling or duty treatment, the exact 50/50 split is the number that must appear on the care label and the commercial invoice.

Fabric Structure

The body is a fine-wale corduroy in brown. Wale count is the single most under-specified field in corduroy sourcing. A fine wale reads as refined and dressier; a wide wale reads as casual and heavier. Two factories can both quote "brown corduroy" and deliver garments with visibly different surface character. Specify the wale direction, the wale count range, and the pile height if the look matters to your line.

The Decorated Component

The sleeves are a dark velvet or mesh-look fabric densely decorated with tonal sequins, and the upper front carries a large five-point sequin star appliqué. This is the part of the garment that fails first in bulk. Sequins are mechanical attachments; they release under abrasion and after repeated laundering if the attachment method and thread are not specified. When you write the specification, define the appliqué dimensions in centimetres, its placement measured from the shoulder seam, the sequin size and finish, and the attachment method.

Sample Size Measurements

Read as a set, these numbers describe a long, relaxed, drop-shoulder silhouette with a pointed collar and curved hem. That is a description you can hand to a pattern maker without ambiguity. A 55 cm shoulder against a 128 cm chest is the signature of a deliberately oversized fit — if your market expects a fitted shirt, this baseline is wrong for you and must be re-graded before sampling, not after.

Grading: Where Fit Programs Are Won or Lost

The medium column above is a single point. The size run is a curve. Grading defines how each measurement increments from S to XL, and it is where a program either holds its fit intent or drifts away from it.

The practical rule: grading increments should be proportional to the garment's intent, not copied from a generic table. A relaxed drop-shoulder shirt should not use the same shoulder increment as a fitted tailored shirt. When you send a specification, send your intended increments for at least the four driving points — chest, shoulder, back length and sleeve length — and require the factory to return a full graded chart for approval before cutting.

Fit risk is cheapest to remove at the graded-chart stage. It is most expensive to remove after a container has shipped.

Decoration and Construction Checks Before Bulk

For a style with sequins, appliqué and mixed-component sleeves, the pre-production sample is doing more work than usual. Approve it against a written checklist rather than a visual impression:

  • Appliqué registration — position measured from the shoulder seam on both the sample and, later, on production units.
  • Sequin retention — a light abrasion and a wash test on the pre-production sample, not on the first bulk unit.
  • Component colour match — the brown corduroy body against the dark sleeve, assessed under daylight and under retail lighting.
  • Seam and lining integrity — sleeves that carry weight need stable seam construction.
  • Pressing response — corduroy pile marks easily; confirm the factory's pressing method before bulk.

Turning the Specification Into an Order Document

A specification becomes commercially useful when it is attached to a purchase order and carries acceptance criteria. At minimum, the order document should state the composition exactly, the sample size and its full measurement set, the approved graded chart version, the decoration dimensions and placement, the measurement tolerance, the care label wording, the packing method and the inspection standard.

When those eight items are present, an inline inspection and a final random inspection have something to measure. When they are absent, both become negotiations.
