How Apparel Sampling Works: From Sketch to Approved Sample in 3–7 Days

A good sample does three jobs at once. It proves the design works, it shows the factory whether the construction is practical, and it gives both sides a shared reference for price, fit and finish. At Zuohan Clothing, we develop first samples in about 3 to 7 days once the design is confirmed. Here is what happens inside that window.

Stage 1: The Brief

Everything starts with information. Send reference images, target fabric, colors, sizes, and any special details such as embroidery, contrast trims or packaging requirements. The more specific your brief, the fewer rounds of revision you will need. If you only have a photo and an idea, say so, and ask the factory what they need to fill the gaps.

Stage 2: Pattern and Fabric Selection

Once the brief is clear, the pattern maker drafts the pattern and the sourcing team matches fabric and trims. This is the stage where cost is decided. A higher-grade fabric, a complex embroidery design or a custom label all change the sample and the final price. Ask the factory to flag any choices that push cost up before they cut fabric, not after.

Stage 3: Cutting, Sewing and Finishing

The sample is cut, sewn and finished by the same techniques that will be used in bulk production. This matters more than buyers often realize: if a sample is hand-stitched but production will be machine-stitched, the sample lies to you. Ask whether the sample reflects the production process.

For products with heavy embellishment, such as floral embroidery or sequin details, this stage also confirms whether the design can be produced consistently at volume.

Stage 4: Review and Approval

You receive the sample with measurements and photos. Check fit, fabric hand, stitching, trims and finishing against your brief, and give feedback in concrete terms, for example: "sleeve length 2 cm longer, collar opening tighter, embroidery density higher." Vague feedback like "it looks off" sends the factory back to guessing.

Frequently Asked Questions

How much does a sample cost?

It depends on fabric and complexity. Many factories charge a sample fee and deduct it from the bulk order, so ask about the policy up front.

Do I get a sample of every color?

Usually one sample in one color first. Color-specific samples are often made after the style is approved, or you may approve color by lab dip instead.

What if the first sample is not right?

Revisions are normal. Put feedback in writing with measurements and photos, and agree on the number of revision rounds before you start.

Can the factory make a sample from my own pattern?

Yes. If you send graded patterns and specifications, the factory can produce an OEM sample from your files.

How is a pre-production sample different?

A pre-production sample (PP sample) is made from the final patterns, fabrics and trims right before bulk production, and it is the last checkpoint before cutting the full order.
